CDL Expiration: What Carriers Need to Track

The state-issued expiration date is the source of truth
Commercial driver's licenses are issued by State Driver Licensing Agencies. Renewal periods and procedures vary, so a carrier should use the actual expiration date associated with the driver's current credential instead of calculating one from a generic term.
That is also how We Heart Paperwork handles CDL expiration: you save the driver's actual date and update it when the license is renewed.
An expired or invalid CDL is an operating problem, not just a paperwork problem
A motor carrier may not knowingly allow, require, permit, or authorize a driver to operate a commercial motor vehicle when the driver does not hold the required valid CDL or is disqualified, suspended, revoked, or otherwise prohibited from operating.
The practical point is simple: do not treat CDL expiration as a date to clean up after the fact. It needs to be visible early enough to allow time for the driver to complete the State renewal process.
Clearinghouse status now matters at the licensing counter
Since November 18, 2024, State Driver Licensing Agencies must query the FMCSA Drug and Alcohol Clearinghouse before specified CDL and CLP transactions, including renewals.
A driver in prohibited status can be denied the transaction or have commercial driving privileges downgraded until the return-to-duty process is completed and the Clearinghouse status changes.
